Handing your sales numbers to someone outside your business is a real decision, so this page describes exactly what happens to them. No jargon and no badges we did not earn. If you want something changed for your store, email estellarsolutionsio@gmail.com and we will talk about it.
Estellar Solutions has not yet completed a formal third-party security certification. We describe our actual practices here rather than claim compliance we have not obtained.
1. What store data we receive
We receive the sales and inventory reports you export from your point-of-sale system, usually as a CSV or Excel file. In practice that means product names, categories, quantities on hand, units sold, prices, and — when your system includes it — cost per item.
We do not ask for and do not want your customers' names, phone numbers, email addresses, or payment card numbers. If a report you send happens to contain that kind of information, tell us and we will delete those columns before building anything.
2. How to send us your reports
Send your reports by email to estellarsolutionsio@gmail.com. Email is the method we use today. You send the file yourself; there is no automatic connection to your point-of-sale system, so nothing is ever pulled from your register without you sending it.
Before sending, remove customer names, customer contact details and payment information. We only need the product, quantity, price and cost columns.
We never ask for POS logins, passwords, or payment card details, and you should never send them to us.
3. Where it is stored
Your report and the dashboard we build from it are kept in a mainstream cloud storage and spreadsheet service — the same class of service most small businesses already use — inside a password-protected business account. The security of that account depends on the provider, and we rely on the protections it offers rather than on anything we built ourselves.
Your dashboard is shared with you through a link. We do not publish it, link to it, or submit it anywhere, but anyone who has the link can open it, so please treat it as private and tell us if you want a new one issued.
4. Who can see it
The founder who builds your dashboard is the only person who works with your store's data. There is no support team, no contractors, and no analysts involved. Staff at the cloud provider we use can technically reach files stored there, as is true of any cloud service. If this ever changes, we will update this page.
Whoever you share your dashboard link with on your side — a manager, a partner, a family member — can also open it. That part is your call, and you can ask us to reissue the link at any time if you want to cut off old access.
5. What we never do with it
- We never sell your data. Not to distributors, not to brokers, not to anyone.
- We never share your numbers with other stores, and we never use one store's data in another store's dashboard.
- We never publish your figures, name your store in marketing, or use it in a case study without asking you first in writing.
- We never store your payment card details. Payments run through Stripe, which handles card data directly.
6. How long we keep it
We keep your reports and dashboards while you are in a pilot or subscribed. After a pilot or subscription ends, this is how long each thing stays:
- Raw point-of-sale reports are deleted within 30 days after a pilot or subscription ends.
- Finished dashboards are kept for up to 90 days so you can retrieve them.
- Billing records are kept as long as the law requires.
- Deletion is available at any time on verified request — email estellarsolutionsio@gmail.com.
7. Deleting your data
Email estellarsolutionsio@gmail.com and ask us to delete your data. We will remove your reports and your dashboard and confirm by email when it is done. You can ask at any time, whether you are in the pilot, subscribed, or long gone. We may keep basic billing records where the law requires it.
8. If something goes wrong
If we ever learn that store data was exposed or accessed by someone who should not have had it, we will tell affected owners directly, in plain language, with what we know and what we are doing about it. We would rather deliver an uncomfortable email than quietly hope nobody notices.
